Tip # 2: Think about your business as you select the date and time for your picnic. "Plan the event for a time when the most employees will be able to participate," suggests Kate Kaeli, partner of kma events, in Princeton, N.J. "Try to avoid scheduling your picnic near summer holidays and particularly busy time periods for your company."
Tip # 3: It's important to choose the right location for your picnic. In addition to the size of the space, you'll want to consider the distance from your office, the facilities available (and their cleanliness), activities provided, and the professionalism of the on-site staff. It's important to note that some locations require special licenses or insurance depending on the size of your group.
Tip # 4: Before you contract with a caterer, make sure to ask how many staff members will be on hand and where the food is being prepared. You'll want to ensure that all food products are fresh and that the hot foods are kept hot and the cold foods are kept cold.
Tip # 5: Make sure you have activities geared for the ages of all of your guests. "From clowns, magicians and pony rides for the kids to tug-of-war, caricaturists, and volleyball for teens and adults, the choice of picnic activities is practically endless," says Alison Donald, partner of kma events.
Tip # 6: Plan ahead by asking all of your picnic vendors if they have a "bad weather clause" included in their contracts. Planning for an alternate date in writing is insurance against losing money if the event is cancelled.
Tip # 7: Relax and have fun! With the proper planning now, you'll be able to enjoy your company picnic along with everyone else. But don't forget to casually survey employees after the event-their feedback and suggestions may be helpful for next year.
